Reduce Residency Processing by 80% with Mutara's Residency Solution

Most enrollment leaders struggle with labor-intensive and error-prone qualification processes.  As the final installment of our residency and qualifications series, we will go into more detail on how our solution addresses these needs.

In case you haven't had a chance to read the other articles in the series, here are links to them:

Key Benefits

In a nutshell, the Mutara Residency Qualification and Determination solution uses the information you already know about your students to determine applicable residency claims and to automate the process of gathering and verifying supporting information.

As such, this solution is designed to address the challenges of determining relevant qualifications, determining what information is needed to prove them, and reducing the effort to verify those qualifications.

  • Leverages existing investment in systems and processes.  It integrates seamlessly with your SIS, Document Management, and Identity Management solutions with minimal IT impact.
  • Eliminates data entry.  It pulls data from the student's system of record to both minimize data entry and ensure that accurate information is used to determine relevant residency qualifications.
  • Automates residency claims.  It applies rules to identify which residency qualifications apply to the student.
  • Automates qualification support and verification.  It applies rules to qualify residency claims real-time or to gather and route the appropriate documentation for later verification.
  • Supports specific residency policies for both institution and governing locale.  It encapsulates the residency policies for your state or county as well as your internal policies for both qualification and required documentation.
  • Simple, modern user experience.  It is easy to use and works on desktop, mobile, and ADA Assistive technologies.

Where it fits in the Attract-to-Onboard Process

Because institutions use a variety of technologies for the application for admissions, reading and offering admissions, and registering for courses, our residency solution will work wherever it make sense in your admissions process:

  • Within the application for admissions.  Mutara customers who utilize our application for admissions solution have the ability to gather and qualify residency as part of the application itself.  This eliminates the need to qualify residency later in the attract-to-onboard process and can streamline affected financial aid processes.
  • As part of processing applications.  For organizations who wish to determine residency as part of their process for reading and offering admissions, the Mutara solution can be used as part of the workflow prior to the student being admitted and matriculated.
  • Prior to allowing student to register for classes.  For organizations who wish to determine residency as part of the workflow for onboarding a matriculated student, the Mutara solution can be used prior to allowing a student to register for classes.
  • As a student (reclassification).  Finally, for students who's residency status changes, the Mutara solution can be used by existing students to reclassify their residency status.

Key Features

Architecture diagram for Mutara's residency solution

The Mutara solution is designed to integrate seamlessly within an institution's existing technology framework.  Here are the relevant features:

Security

For authentication, the solution will integrate with the institution's identity management solution.  This ensures that the student has the ability to use their campus login as well as providing single signon when navigating to the Mutara solution from other systems managed by the institution.

Data Management

Once the student is authenticated, Mutara will retrieve his/her personal information from the system of record in real-time.  This is most often the student information system, but can also be a CRM or an in-process application for admissions when relevant.  This reduces the amount of data entry by the student and also improves the accuracy of the data being used for determining residency.

Automation and Rules Processing

Rules are applied to the data retrieved to automatically determine the residency claims that are relevant to their dependency status, living arrangements, military status, and other residency qualification attributes.  This reduces the potential for erroneous claims and simplifies the experience for the student.

Once a student makes a residency claim, rules are also used to determine what is needed to prove that qualification.  This can either be gathering information for qualifying directly against other authorities (such as a DMV) or gathering the appropriate documents.

These rules are tailored to both the governing authority as well as the policies adopted by the institution.

Simple, Powerful User Experience

The experience for the student is designed to be simple, streamlined, and contextual.  It also works on desktop browsers, mobile devices, and different assistive technologies (certified at WCAG 2.3 AAA level).

Powerful Integration

Finally, the Mutara solution is designed to integrate seamlessly with other system in your institution's architecture.

  • Identity Management:  It can use your organization's identity management system for authentication and single signon.
  • Student Information System:  As the system of record for your students, it will integrate with your student information system to retrieve student data at the start of the process, and update the residency status at the end.
  • Document Management System:  For qualifications that require manual verification, it will capture the relevant documents, tag them, and send them to the document management system for management and workflow.
  • Verification Authorities:  Finally, our solution can integrate with relevant authorities to verify the accuracy of the information provided.  This can include the DMV, Voter Registration, and 529 Savings Accounts.
